Job Summary

Reporting to the Associate Director of Academic Training, the Training Coordinator I will provide department-wide administrative support to the Office of Academic Training and Outreach Programs and manage mass communications and outreach to its diverse audiences. The successful candidate will organize and execute a multifaceted communication program that encompasses and aligns audience-specific email outreach, web content, print media, calendar maintenance and social media. In addition, the Training Coordinator I will oversee the administration of multiple training and education programs, including space reservations, ordering catering, speaker coordination and other logistics.


Preferred Education: Bachelors degree plus 5+ years relevant experience

Preferred Experience: Communications, training, education or related background



Job Responsibilities

Work with minimal supervision to meet the training- and education-related administrative needs of the three tiers of the Office of Academic Training and Outreach Programs

Identify and reserve internal conference space for events

Manage internal catering orders

Benchmark, identify and reserve external conference venues with consideration for budget, audience capacity, catering needs, etc.

Communicate with event presenters to support their presentation needs

Work with relevant A/V staff to further develop programs for video/audio recording, webinars and other methods of disseminating educational content

Provide additional administrative support to Senior Director as needed


Support administrative needs of the emerging CHOP Postdoc Association and related communities

Manage and support administrative needs of trainee leaders, such as space reservations, catering, etc.

Serving as administrative liaison between trainee leaders, faculty liaison and Academic Training program leads

Manage an emerging communications program to engage a diverse audience base in office education and training programs

Serve as intake coordinator for various news items, events and announcements that are relevant to our stakeholders, including research staff, postdoctoral fellows, physician fellows, faculty and other audiences

Maintain and develop new email distribution lists specific to these audiences, which includes a community of more than 1,000 researchers at Children’s Hospital

Manage web-tools, calendars and email marketing (i.e., MailChimp) for a wide variety of outreach needs

Develop marketing content with input from event leaders and subject matter experts

Distribute weeky, biweekly and monthly updates to the research community as appropriate

Utilize web, marketing program assessment tools and surveys to evaluate communication effectiveness


Lead social media efforts to expand visibility of CHOP faculty and the institution as a leading pediatrics training facility, as requested by CHOP faculty

Enhance Academic Training presence on social media, including Twitter and LinkedIn to build reputation of CHOP as a training institution for junior researchers

Utilize social media presence to advertise postdoc and other research positions for faculty

Liaise with other CHOP-based social media campaigns to create synergy in outreach


Serve as administrative contact for postdoc hiring-related resources, as requested by CHOP faculty

Manage resource maintenance on CHOP website

Liaise with Penn to ensure jobs are posted on relevant Penn job boards

Send job ads to networked institutions for distribution

Field related questions and provide direct support



Required Licenses, Certifications, Registrations

Required Education and Experience

Required Education: High School Diploma / GED


Required Experience:   One (1) year of training related experience.
