Job Summary

Under the direction of the Director of Research Resources (DRR), the Assistant Director of Research Resources (ADRR) leads the operation, identification, growth and development of the physical infrastructure required to support all operational areas of the Research Institute at the Children’s Hospital of Philadelphia (CHOP). The Assistant Director, reporting to the Director, also will interact with the Chief Scientific Strategy Officer as well as the Executive Vice-President for Research and CHOP RI senior leadership to coordinate the availability and supply of a myriad of infrastructure needs across the research enterprise. Activities include (but are not limited to): direction of daily operations issues; maintenance, and reporting for capital equipment; space utilization metrics; furniture; strategic and long range planning of research space allocation; project management for construction and renovation concerns from the end users perspective; primary responsibility for computing platform for centralizing data, planning and operations, education and mentoring; and other general administrative activities related to the research community and department.

Job Responsibilities

1. Operations 

  • Direct fulfillment of Support Service requirements of the research community
  • Direct minor renovation projects to existing research and administrative space
  • Identify, establish and develop infrastructure appropriate for the incorporation of research capital acquisitions
  • Interface and coordinate with CHOP departments and external vendors for the provision of services in a time appropriate manner
  • Coordinate construction, renovation, maintenance and other space issues to ensure minimal impact to ongoing research activities
  • Participate in the establishment and management of leased programs both incoming leases as well as outgoing leases.
  • Coordinate faculty onboarding and departures
  • Represent Principal Investigators for all space related requests and needs
  • Support implementation of space policy 
  • Help Coordinate central off-site storage for the Research Institute- Investigators and Administrative

 

2. Reporting and Inventory Management 

  • Track current allocation of research space according to various parameters that may vary over time 
  • Direct implementation and development of a space management database system
  • Identify and monitor use of space to identifying discrepancies compared to the formal allocation plan
  • Work with appropriate support service groups relative to new lease agreements and/or close out of expired lease agreements
  • Generate reports as requested by the DRR, faculty members, Divisions, Departments, Center Directors and/or Senior Leadership 
  • Manage and/or coordinate the relocation of new and existing research programs
  • Generate space related data for incorporation into the Overhead Proposal Submission which includes square footage per Principal Investigator, FTE count and equipment
  • Work closely with Research Finance to identify funding sources by square footage for the Overhead Proposal Submission. 

 

3. Strategic and Long Range Space Planning

  • Along with Senior Leadership, anticipate, identify and fit out space for incoming faculty, programmatic initiatives and shifts in research emphasis
  • Establish space requirements for programmatic planning and development
  • Policy and procedure development for methodology associated with space related medium and long range planning objectives
  • Establish short and long range organizational goals and objectives to anticipate and manage growth in the research enterprise
  • Work closely with Sponsored Programs Office to project future space needs via funding submissions and awards

4. Project Management 

  • Represent the interests of the research community in relation to new construction projects
  • Direct and coordinate the activities of significant renovation projects to existing research space
  • Responsible for accurate data base administration
  • Represent the CHOP Research Institute with external organizations to facilitate growth and development of appropriate research based physical infrastructure
  • Manage grant funded construction and renovation projects as awarded, meeting all programmatic requirements
  • Provide direction for other Research oriented projects

 

5. Mentoring and Education 

  • Advise existing investigators and program staff regarding policy and procedural issues
  • Establish and as needed interpret relevant policies and procedures for incoming and outgoing investigators and staff
  • Provide referrals as appropriate to other units within the CHOP Research Institute
  • Represent and advocate for research issues in various forums including, but not limited to, hospital-wide committees and project management meetings.

 

6. General Administrative 

  • Direct programmatic resolution of research related insurance claims
  • Budget development and maintenance of operational, construction and renovation related accounts
  • Travel, as considered appropriate, for relocation of new faculty and/or to meetings related to the above objectives

Required Licenses, Certifications, Registrations
Required Education and Experience

Required Education: Bachelors degree

 

Required Experience: 

  • Five (5) years relevant facilities, infrastructure or resource planning experience 
  • Three (3) years of managerial or supervisory experience
Preferred Education, Experience & Cert/Lic

Preferred Education: Masters Degree in relevant business, scientific, engineering or architectural discipline
 

Preferred Experience: 

  • Seven (7) years relevant facilities, infrastructure or resource planning experience 
  • Five (5) years of managerial or supervisory experience
  • Previous experience working in a research related environment
     
Additional Technical Requirements
  • Advanced proficiency in space planning and management
  • Advanced proficiency space planning and reporting related to F&A rate submissions
  • Experience working with and programming Integrated Workplace Management Systems (IWMS) for property management (Archibus or similar platform)
  • Advanced knowledge of building codes and standards required 
  • Advanced knowledge of grant supported environments
