Job Summary

The Program/Operations Coordinator will help orchestrate numerous functions associated with supporting a complex multidisciplinary center and will work closely with the Administrative Director to ensure that operations of the Center is completed in a timely and efficient manner.

Job Responsibilities

Support Coordination of  Day-to- Day Operations of the Center for Injury Research and Prevention

  • Work with the Administrative Director to develop, organize, maintain, and manage the infrastructure and resources necessary for the operations of the Center
  • Prepare relevant agreements and budgets (sub-contract documents, memoranda of understanding (MOUs), consultant agreements, purchase orders, etc.) and serve as liaison to CHOP Research Institute in the management of these business arrangements when requested
  • Support the development of annual reports and Center funded progress reports, as needed.
  • Oversee process for requesting purchase requisitions and serve as liaison for Supply Chain
  • Support Administrative Director in serving as a liaison with CHOP and Research Institute Administrative Offices
  • Approve  IS requests
  • Maintain and report on Center metrics, accomplishments and successes
  • Work with Administrative Director and Research Business Manager on operational and grant budgets
  • Track all Center accounts, including active, pending and closed accounts
  • Support development of policies and procedures
  • Coordinate meetings, including developing agendas, communications

Provide PI/Project Support on administrative and budgetary questions/concerns

  • Provide service, guidance, and support for PI’s on administrative/budgetary  questions
  • Support identifying personnel salary overages/shortfalls and recommendations for effort allocation on projects
  • Serve as point of contact for account balance questions

Contribute to the coordination of other tasks, research projects, and programs within the Center for Injury Research and Prevention

  • Facilitate and maintain relationships with potential and existing collaborators/sponsors internal and external to CHOP
  • Plan for and coordinate events
  • Create and maintain systems to track contacts, communications, progress, awards, and other pertinent information;
  • Support Administrative Director on other administrative duties as requested

Required Education and Experience
  • Bachelor’s degree in Psychology, Life Sciences, Public Health, Health Administration or related field
  • Minimum of two years' experience in conducting research trials. 
  • Excellent communication and organizational skills. 
  • Able to work independently and interact with researchers, community members, and CHOP staff.
Preferred Education, Experience & Cert/Lic
  • Masters degree.
Additional Technical Requirements
  • Excellent customer service and time management skills required. Must be able to work effectively with minimal direct oversight and manage multiple projects with varying deadlines. Must be able to juggle multiple demands, work styles and needs.
  • Must have strong organizational skills, be able to work accurately, pay strict attention to detail, and be amenable to doing varied work that requires an intellectual and professional approach.
  • Successful performance in a high-intensity work environment.
  • Excellent problem identification and problem solving skills.  
  • Excellent written and interpersonal skills.
  • Ability to handle confidential matters and materials. 
  • Evidence of leadership ability
  • Ability to work with sensitivity to cultural diversity and to assist staff in understanding this diversity
  • Budget Management experience
  • Previous clinical research experience a plus
  • Demonstrated strategic and project management skills
