Job Summary

The Dept of Biomedical and Health Informatics (DBHi) at The Children’s Hospital of Philadelphia is seeking a qualified individual for an Office Coordinator II position. The Office Coordinator II is expected to perform complex and diversified research-oriented administrative duties in support of DBHi staff and faculty.  Must be highly organized and able to meet deadlines, work on several projects at once and understand the concepts in the work performed. Must manage difficult situations with skill, patience, and diplomacy.  Requires independent judgment and the ability to work collaboratively as part of a team.

Job Responsibilities

•    Manage electronic calendars for faculty and unit directors and work proactively to manage schedules.
•    Coordinate diverse activities and communications with offices such as finance, business office, and others. 
•    Assist investigators with management of their research funds, and will assist in travel, reimbursements, and purchasing.
•    Provide support for developing grant applications, protocols, manuscripts, and presentations.  

Required Education and Experience

High School graduate

At least 5 years of progressively responsible administrative support experience in an academic, scientific or medical setting

Additional Technical Requirements

  • Proficient with Microsoft Excel and Word
  • Knowledge of PowerPoint.
  • Ability to work independently with minimal supervision.
  • Ability to be pro-active in following up on projects and tasks.
  • Excellent phone etiquette.
  • Ability to handle confidential materials.
  • Ability to handle multiple tasks.
  • Excellent organizational skills.
  • Knowledge of medical terminology and protocol.
