Job Summary

Responsible for the operational management of various administrative processes and tasks that support specific Supply Chain teams, including Central Processing, Linen Services, and Mail services.Responsible for the operational management of various administrative processes and tasks that support specific Supply Chain teams, including Central Processing, Linen Services, and Mail services.

Job Responsibilities

  • Responsible for the total management of payroll processes for 100+ union employees spanning the multiple shift, 24/7 operations of the Supply Chain department
  • Manages locker assignments for staff
  • Manages the user database for Scrubex machines
  • Places orders for office supplies and other miscellaneous operational requests
  • Manages annual orders for uniforms in accordance with the 1199C Collective Bargaining Agreement
  • Maintain all personnel files according to agreed upon formats; ensuring for accuracy and availability, according to all Hospital, departmental and regulatory agencies, and updated for use by management. Respects the confidentiality of these files.
  • Demonstrates flexibility with own schedule to provide optimum coverage for the position and the department
  • Prepare and maintain bargaining unit schedules, in conjunction with all appropriate policies, guidelines and the Collective Bargaining Agreement.
  • Works with department management team relative to employee recruitment/hire and termination.

Required Licenses, Certifications, Registrations

None

Required Education and Experience

Required Education: High School/GED

 

Required Experience: Two (2) years of administrative experience.

Preferred Education, Experience & Cert/Lic

Preferred Experience: Five (5) years of progressively responsible administrative support experience in an academic, scientific or office setting. 

Additional Technical Requirements

  • Basic knowledge of medical terminology and protocols
  • Basic knowledge HIPAA regulations
  • Intermediate proficiency with electronic medical record software (EPIC)
  • Intermediate proficiency with office software (Microsoft Office) including word processing, spreadsheet, and presentation software (Word, Excel, PowerPoint)
  • Excellent verbal and written communications skills
  • Excellent interpersonal skills
  • Excellent organizational skills
  • Excellent time management skills
  • Strong conflict resolution skills
  • Ability to maintain confidentiality and professionalism
  • Ability to work independently with minimal supervision
