Job Summary

The Medical Secretary provides administrative and clinical support to the providers including but not limited to:

 

  • Administrative Support – calendar scheduling, travel arrangements, expense reimbursements, renewals (license, DEA, hospital privileges) and other general office administrative duties. 
  • Clinical Support includes dictation, patient appointment scheduling, patient registration, etc.
Job Responsibilities
  • Manages communications between assigned surgeons and PCPs, referring MDs and families. 
  • Communication methods include EPIC inbox, dictated letters, email and phone calls.
  • Coordinates and maintains Outlook and EPIC calendars for assigned providers.  
  • Manages travel arrangements and processes reimbursements for providers.
  • Other administrative support, including but not limited to – assisting with renewals of license, DEA and hospital privileges.  Updating CV’s and CME’s.
  • Patient scheduling which may include - outpatient appointments, surgical scheduling, radiology testing, etc. – ensuring correct provider, location and visit type/procedure are selected.
  • Completes accurate registration, verifying current insurance information, correcting discrepancies, discussing any financial obligations patient may be responsible for (ie: co-pay, co-insurance, etc).
  • Collaborates with divisions/clinics to prepare patients for their visit.
  • Supports and provides superior service via all points of contact while maintaining department quality and production standards:
  • Collaborates to deliver a seamless, exceptional patient experience in all interactions. 
  • Consistently uses appropriate decision making and exercises judgement at all touch points.
  • Follows guidelines of schedule adherence
  • Embraces a culture of customer-centric behavior and focus. 
  • Responds to inbound interactions utilizing the EMR to schedule and confirm patient appointments, complete patient registration:
  • Ensures compliance with all divisional policies and procedures when scheduling appointments.
  • Offers and activates patient portal accounts and communication options, including answering questions and resolving any user issues.
  • Consistently offers wait list as an option when appropriate and utilizes wait lists to fill appointment slots.
Required Education and Experience

Required Education:  High School/GED  

 

Required Experience: Minimum 2 years related job experience

Preferred Education, Experience & Cert/Lic

Preferred Education:  Associate’s Degree

Additional Technical Requirements
  • EMR experience required – EPIC preferred. 
  • Medical Terminology required.
  • Transcription and typing skills required.
  • Proven record of outstanding customer service required.
  • Must have good organizational skills and be able to maintain confidentiality and professionalism.
  • Ability to work independently and distinguish job priority.
  • Basic application of computers and Microsoft Applications (i.e. Word and Excel).
