Job Summary

Reports to the Operations Manager with accountability to the Advanced Practice Provider (APP's) Managers and Team leads. Responsible for managing complex clinical provider scheduling systems and processes for all Advanced Practice Providers (APPs) within areas of coverage. Excellent communication skills and independent judgement are essential.

Job Responsibilities

Management of Clinical Provider Schedules

  • Works with APP Managers and Team leads to generate APP schedules that meet clinical demands and support our academic and educational missions 
  • Manages the scheduling system build, and any changes to the initial build, with a focus on improving efficacy, data integrity and user experience
  • Generates and manages staff schedules in accordance with policies, staffing standards and commitments to users regarding timelines for release dates, objectivity, responsiveness, and clear communication
  • Accountable to APP Managers for generating APP schedules for review and approval prior to executing the schedule

 

Data Monitoring and Analysis

  • Creates, maintains, and owns archival and current source information regarding each individual APP and their  work effort, non-clinical commitments, and time away
  • Contributes to informed discussions and decisions by utilizing and further developing dynamic tools to project staffing needs and simulate various staffing models
  • Diligently and regularly monitors the accuracy and integrity of scheduling data, making appropriate corrections
  • Conduct and present analyses of scheduling data, incorporating other data sources when necessary

 

Reporting

  • Generates ad hoc reports, tables and graphs upon request to support departmental  leadership
  • Provides recurring reports to various stakeholders; these may include weekly and monthly reports to APP Managers and Team Leads and annual reports for time away audits and performance reviews.
  • Work with  the leadership team for Advanced Practice to develop meaningful individual reports and an user-friendly interface/dashboard for individual users

 

Job Responsibilities Continued

System Integration/Project Management

  • Serves as departmental expert on staff scheduling system and oversee any projects associated with the system, coordinating timeline, assigning related tasks, and following-up on action items as appropriate
  • Serves as primary liaison between the department and scheduling system’s technical support team
  • Contributes to departmental and institutional efforts to integrate other systems with the scheduling system, and manage the integration project for the Center for Advanced Practice.

 

Administration

  • Assists in developing and responsible for maintaining policies, procedures and job aids related to staff scheduling
  • Provides administrative support for departmental  scheduling committee meetings, including agenda preparation, meeting minutes, and other tasks as requested
  • Plans and conducts a comprehensive orientation for all new staff to the scheduling system and related policies and procedures
Required Licenses, Certifications, Registrations
Required Education and Experience

Required Education: High School/GED

 

Required Experience: Minimum of five years of related experience in a healthcare or academic medical environment.

Preferred Education, Experience & Cert/Lic

Preferred Education: Associate’s or Bachelor’s degree.

  • Advanced ability to utilize Microsoft Excel for complex data analysis, calculations, graphing tools, and reporting, and commitment to continuous learning in this area
  • Expert knowledge of current QGenda scheduling program

  • Ability to handle confidential materials and matters
  • Strong organizational skills, with ability to handle multiple tasks and priorities, and meet deadlines
  • Effective skills in problem solving; critical thinking

  • Strong ability to maintain composure when under pressure
