Job Summary

The Clinical Research Program Manager will be responsible for developing and managing the department’s research processes and infrastructure to ensure that the department effectively meet its research mission. The Clinical Research Program Manager will manage and ensure coordination of the following activities: research processes management and oversight, recruitment and onboarding of new research faculty and staff, supervision of research staff, and administrative functions to insure high quality research. The Clinical Research Program Manager will work closely with the Director of Research and Director of Psychosocial Research (Research Directors), the Senior Administrative Director, and with faculty within the department on their individual research portfolios. The manager will also serve as a liaison for research faculty and staff with human resources, finance, development, research administration, the IRB, and faculty affairs.

Job Responsibilities

Research Processes Management and Oversight

Oversee existing and adapt/develop new department policies and procedures to ensure efficient and effective research operations that are conducted in compliance with federal and/or CHOP policies

Develop and maintain relationships with key Research Institute and other contacts at CHOP

and other institutions, as appropriate

Serve as a resource and the primary liaison for new and existing department investigators and

staff related to policies, procedures and resources at CHOP (both generally and within the

Research Institute) and other institutions, as appropriate

Develop and maintain a comprehensive plan for ongoing (continuing) training, meetings and

resources for department investigators and staff

Provide reports, analysis and recommendations to department leadership related to research

operations planning based on tracking systems, trends and other sources, as appropriate

Maintain regular contact with department investigators and staff to proactively identify issues and opportunities for optimizing research operations and recommend strategies

 

Supervision and oversight

Understand procedures necessary for faculty and non-faculty researcher recruitment, retention, and promotion and serve as a primary liaison with relevant academic department counterparts at CHOP and Penn

Assist principal investigators with staffing including full-time hires, NTPs, and interns

Lead the onboarding process of research study personnel

Conduct (with principal investigators) performance evaluations, coaching, and discipline as necessary for all research study personnel

Monitor time and attendance and approve paid time off for research personnel

 

Perform administrative functions in support of departmental research

Plan and support research related meetings and activities (works in progress, research faculty meetings, meetings with IRB, research talks)

Act as a resource for research regulatory questions and documentation

Collaborate with the Research Directors and principal investigators on new initiatives

Collaborate with Research Directors and department administration on financial and budget requests

Develop, maintain, and present management reports on research activity within the department

Provide administrative support related to faculty recruitment

Manage department’s communications activities related to research (e.g., manage research website, assist with annual report related to research

Required Licenses, Certifications, Registrations

Required Education and Experience

Required Education: Bachelors in related field

 

Required Experience: 5-7 years’ experience in research

Preferred Education & Experience

Required Education: Bachelors of/in Arts/Science in related field

Required Experience: 5-7 years’ experience in clinical research, research administration, or related administration role

Preferred Education: Masters of/in Arts/Science in related field preferred

Preferred Experience: Experience in an academic institution strongly preferred

Additional Technical Requirements

Demonstrated proficiency in the use of the Microsoft Suite of Products: Word, Excel, Power Point, and some familiarity with database management systems

Excellent organizational skills, as well as excellent oral and written communication, listening and presentation skills

Must have strong coordination, communication, organization development, program planning & implementation, project management, operational, and financial skills

Ability to use collaborative and inclusive approach to resolve internal and interdepartmental issues

Ability to interact effectively and appropriately when dealing with others.

Skill in supervising, mentoring and team-building in order to provide guidance and instruction to others

Ability to exercise the initiative and resourcefulness necessary for prioritizing multiple and ongoing initiatives within the department

Ability to work independently

Ability to work with sensitivity to cultural diversity and to assist staff in understanding this diversity
