Job Summary

The Clinical Coordinator of the International Patient Program is a member of the International Patient Program team and works closely with the Clinical Manager.  The Coordinator collaborates regularly with the physicians, clinicians and administrators from multiple Divisions and Departments at CHOP while serving international patients.  The Clinician Coordinator provides case coordination and management support to the International Medicine staff for ongoing care of international patients.  The Clinical Coordinator also works with international clients, families, patients and their representatives as directed by the Clinical Manager.


In this role, the Clinical Coordinator provides support to the ongoing operational and monitoring activities of the International Patient Program which is responsible for facilitating the delivery of excellent and timely pediatric health services for international patients and families.  The Clinical Coordinator is integrated into patient services by offering clinical summaries of medical records and coordination of consulting services during clinical case reviews and evaluation requests from international families.  The Coordinator ensures efficiency in the operational process.

The Clinical Coordinator also provides some case management services as necessary and directed in support of complex international patients who require ongoing review and coordination of services, case summaries, coordination of DME, outpatient pharmacy services, financial summaries, etc.  The Clinical Coordinator will be responsible for generating reports regarding individual cases and collaborating with other departments or agencies as directed by the Clinical Manager.  

Job Responsibilities
  1. Clinical Coordination Services:  Provide clinical coordination of international cases by facilitating assigned case reviews and evaluation requests. It is the Clinical Coordinator’s responsibility to provide efficient reviews of medical record information and support the efficient processing from the time of the request to the generation of an appointment. 
  • Communicates, documents and participates in discharge planning activities when assigned by the Clinical Manager. Assures clinical information and discharge goals are communicated/ transferred to alternative international site providers. 
  • The role requires ongoing communication between clinical services and international families and constituencies as assigned for cases requiring ongoing or lengthy services at CHOP. 
  • Provides documentation letters of medical diagnoses for assigned cases in order to expedite the Visa application process.
  • Facilitates billing and reimbursement by communicating pertinent and appropriate medical information to CHOP finance department and/or international third party payers when assigned.  Works with the Clinical Manager to obtain certification and approval of all hospital stays with international agencies as assigned.  Seeks input from attending physician or other care providers as needed to obtain certification and approval of payment.
  • Participates in interdisciplinary discharge planning as assigned with the clinical team caring for international patients.


  1.  Case Management Responsibilities
  • Review international clinical case review requests and clinical documentation (determine if additional records are needed, determine if clinical records provided are complete and appropriate, review clinical request for clarity around requested services, etc.)

  • Review requested clinical services and identify appropriate clinical services at CHOP to be involved with each case.  Support the standard expectations for case review process and provide a summary of the case and pertinent information to the CHOP clinical practices in a timely manner that summarizes the key clinical pieces that are required by each Division.  Work with clinicians to identify the probable diagnosis for the case and develop case evaluation scenarios for the development of financial cost estimates (for those without an established case rate). 

  • Propose on-site physician visits, diagnostic studies, etc. that would be conducted at the time of the CHOP visit and facilitate coordination of care.  Review and validate the clinical case review & evaluation plan with physician and clinician specialist(s).

  • The Clinical Coordinator facilitates care coordination for international patients when they seek care and come to CHOP.  S/he provides clinical knowledge during the process and assists in the communication between teams as necessary to keep all constituencies informed. 

  • The Clinical Coordinator provides case summaries and letters as assigned for families or international agencies during the delivery of services. 

  • Maintain standards of performance for the process of clinical case review and care coordination for international patients.   This includes assistance in coordinating appointments and maintaining detailed/accurate schedules of outpatient appointments for international patients.

RN - Registered Nurse
Required Education and Experience
  • BSN from an accredited program.

  • 5 years of pediatric clinical experience.
Preferred Education, Experience & Cert/Lic
  • International experience and/or expertise are highly preferred.
  • Utilization and/or case management experience preferred
Additional Technical Requirements
  • Fluency in a second language is highly preferred.

  • Broad pediatric clinical knowledge is required. 

  • Excellent oral and written communication skills necessary.

  • Excellent interpersonal skills and the ability to negotiate diplomatically.   

  • Ability to work effectively with all departments and all levels of CHOP professionals and with international families and their representatives.

  • Basic knowledge of IS/IT systems is required including ability to use MS Word, Excel. 
  • Ability to work collaboratively through consultation with other health care providers
  • Ability to coordinate and implement multiple tasks simultaneously
  • Critical analysis and problem-solving skills.
  • Ability to understand and summarize clinical records, laboratory and radiographic data.
  • Excellent customer service orientation and strong interpersonal skills.
  • Must be very organized and able to work independently.
