Job Summary

Compose, produce, deliver and record stewardship documents to keep donors informed about how their contributions advance the mission and annual goals of the Children’s Hospital of Philadelphia. Manage hospital giving society membership, stewardship, and recognition. Assist with Philanthropy and/or Annual Report production and donor wall updates, including managing all donor lists. Track and manage all physical recognition and maintain policies and procedures for naming objects or spaces throughout the Hospital Network.

Job Responsibilities

Giving Societies

  • Manage composition, production, and mailing of welcome packages to Founders and 1855 Society members
  • Oversee membership updates in database of record
  • Assist with giving society event planning and staffing
  • Draft and manage production and delivery of special stewardship efforts to giving societies as needed

Donor Relations

  • Help answer and Donor Relations phone line and provide appropriate follow-up
  • Help answer emails sent to giving@email.chop.edu
  • Assist with day-to-day operations of the donor relations program
  • Write and/or proofread a variety of material (correspondence, stewardship reports, stories, etc.)
  • Assist with writing and production of Philanthropy Report and/or Annual Report


  • Manage donor recognition lists in Philanthropy Report, which requires communication with Development Services and management of list review by frontline fundraisers. Ensure accuracy and timely production.
  • Manage all recognition and content updates to electronic donor wall
  • Manage updates to Chairman’s Circle Wall
  • Manage yearly updates to Endowed Chair Wall
  • Manage Donor Relations oversight of recognition design phase. Order recognition plaques and signage and follow production through to completion, interacting with vendors and CHOP staff as required. Install plaques on patient units. Supervise recognition installations as needed.
  • Maintain policies and procedures around physical recognition.
  • Document and record existing named objects or spaces and recognition opportunities.


Job Responsibilities (Continued)


  • Draft standard acknowledgement letters on behalf of Executive Vice President and Chief Development Officer and President and CEO.
  • Draft and mail special or custom correspondence upon request
  • Produce stewardship and recognition reports and queries.  Run stewardship tickler report on a quarterly basis.
  • Manage Thanksgiving card mailing (help select design, organize support staff to help with addressing and stuffing of cards, work with DODs to identify Founders members who should receive personalized cards, manage mailing list, organize Hospital card sign-a-thon when appropriate)
  • Manage drafting and production of post-event email communications
  • Manage stewardship process for signature events (draft correspondence, create custom letters as needed, pull mailing lists, segment recipients as appropriate, manage signature process among frontline fundraising staff, ensure mail is delivered in a timely fashion and records are appropriately updated in database of record.)
  • Manage or assist with new stewardship initiatives as assigned

Required Education and Experience

  • Bachelor’s degree
  • At least five (5) years of experience

Preferred Education, Experience & Cert/Lic

Preferred Education: Bachelors of/in English, Journalism, Communications, Liberal Arts or a related field.


Preferred Experience: At least seven (7) years’ experience.  Professional writing experience. Experience in Development Communications writing is highly desirable.

Additional Technical Requirements

  • Demonstrated understanding of fundraising and the role of stewardship in cultivating future gifts to an organization.
  • Proven skills in writing and editing
  • Excellent grammar and word usage.
  • ·Ability to translate medical or scientific information into lay language is helpful.
  • ·Ability to interact professionally and deal effectively with donors and all levels of Hospital personnel.
  • ·Accuracy and attention to details.
  • Organizational skills involving administrative processes
  • Ability to work as an integral part of a fundraising team.
  • Computer literacy including Microsoft Office a requirement with knowledge of Raiser’s Edge helpful.

  • Poised and engaging, empathetic communications style based on natural warmth and enthusiasm.
  • Fast-paced and results oriented with the ability to work in a timely manner with multiple deadlines and competing requirements.
