Job Summary

This position is under the general direction of the AVP Care Network. S/He is responsible for the creation of statistical and financial summaries and coordinates/creates various reports. Additionally, this position coordinates physician initial onboarding and facilitates ongoing activities related to satellite programs.  Skilled user of Microsoft Word, Excel & PowerPoint. The position is responsible for complex and diversified administrative tasks for the Care Network.

Job Responsibilities

1. Assist the AVP and CN team with developing reports. Extensive experience with large datasets, combining data from a multitude of sources and using the dataset to measure outcomes.

  • The reports include but are not limited to:
    • Accounts Payable – basic accounting skills and knowledge of accounting principles required.
    • Monthly management of Statistical and Financial Reports – advanced knowledge of MS Excel is required.
    • Budget preparation reports – under the direction of the AVP, prepare periodic reports during the budget season as well as ongoing budget reports for satellite programs
    • Makes effective use of charts, graphs, figures and illustrations in reports.
    • Continuously advancing ideas to convert manual tasks to automated processes.
  • Able to convey complex or technical information in a manner that others can easily understand.
  • Able to manage multiple projects, work independently, and implement problem-solving skills
  • Ethical approach to work and to confidentiality/security of data and datasets
  • Attentive to detail and data accuracy; meticulous.

    2. Coordinate and assists with physician recruitment, onboarding and ongoing activities related to satellite programs:

  • Completes and coordinates various aspects of physician recruitment and onboarding facilitating the timely approvals and readiness for start dates.
  • Coordinates onboarding activities among and between various CHOP departments also involved in physician recruitment and onboarding
  • Coordinates payroll, invoice management and resolution.
  • Coordinates expense tracking in satellite programs; participates in expense management

    3. Performs and/or supervises the following administrative tasks:

  • Phone management (inbound calls, backup response, messaging and replies).
  • Calendar management (meeting scheduling and coordination, conflict resolution, weekly summaries).
  • Mail management (paper mail receipt, response, routing and escalation of critical pieces).
  • Travel coordination and expense coordination and reporting.
  • File management (paper and electronic).
  • Creation and/or maintenance of position reports, cost center verifications, and organization charts and related materials.


    4. Manage and plan multiple projects.

  • Exhibits excellent organizational and planning skills and the ability to
  • Work collaboratively across functional lines.
  • Handle complex scheduling issues related to events, meetings, and appointments.

5. Problem-solve and negotiate/mediate difficult situations with tact and diplomacy, including personnel issues, patient relations.


6. Interact with CHCA, Medical Staff Office, Facilities, Finance, IS, Supply Chain, etc… to coordinate integrated programs and strategies for ambulatory network development.


7. Mentor the CN Managers as needed on changing processes, computer systems and administrative tasks. Provide training when needed or refer them to Learning Services.


8. Assist in coordinating special events for as needed: i.e., open houses, luncheons, practice acquisitions/conclusions.


9.  Other duties as required.

Required Education and Experience

  • Bachelor’s degree in business, health care, communications, information management or related field.
  • Five to seven years work experience preferred.

Preferred Education, Experience & Cert/Lic

Health care office experience highly desirable.

Additional Technical Requirements

  • Knowledge of Microsoft Office Suite including Word, PowerPoint, Excel, Publisher and Access; internet research skills.
  • Photoshop skills desired but not essential.
  • Excellent communication and interpersonal skills required.
  • Must be able to communicate with managers, physicians, senior administrators and office staff.
  • Excellent organizational skills.

  • Strong Analytical abilities.
  • Excellent written and oral presentation skills.
  • Eagerness to learn new areas and work with little supervision.
  • Good judgment.
  • Ability to work with confidential materials and to juggle multiple tasks.
  • Excellent Interpersonal skills.
