Job Summary

Under the direction of the Clinical Operations Manager and in collaboration with lab sections leadership the Administrative Manager will support the day-to-day business activities of the Pathology and Lab Medicine Administrative Team.  Also, will oversee the contracted services for Cell and Vaccine Production and other programs that support the labs including but not limited to managing University of Pennsylvania Faculty on boarding and compensation administration.

Job Responsibilities

  1. Oversees all matters related to University of Pennsylvania and CHOP Faculty members with appointments in the Department of Pathology and Lab Medicine including on boarding and compensation administration. Is available as a resource to each lab section utilizing the Lab Information System and Hospital Systems to track and analyze clinical testing volumes and interface with clinical programs throughout CHOP to understand and project utilization trend. Facilitates correlating and projecting expenses relative to test volumes and provide analyses of associated expenses as necessary. Partner with PARC and LIS regarding charge capture/reimbursement issues and maintain EPIC work queues assigned including but not limited to 561 and 1440.

  2. Oversees business processes for the Department, including reconciliation report, processing check requests, processing payment of check requests, travel reimbursement, dues & subscriptions, accreditation fees, and miscellaneous purchased services. Performs data queries as requested with analysis provided.  Track Faculty Expense Funds, Chair Fund spending, Outreach Profit Sharing Spend and Endowments for the department.   Track/Coordinate department Capital purchases.   Prepare Research Client and Chop Program invoices.  Manage the accounts receivable through fund transfer to relieve accounts.

  3. Manages invoice processing for contracted services, med/lab supplies and general supplies for PALM Administrative Cost Centers and research faculty utilizing PALM funds in order that Finance’s Accounts Payable processes are adhered to.  Enter/assist with Purchase Requisitioning, as needed, for Faculty Expense Funds, Chair Fund spending, Outreach Profit Sharing Spend and Endowments for the department.
  4. Will be responsible for maintaining, updating and distributing the daily, weekly and monthly Pathology and Laboratory Medicine dashboard.  Leverage reporting and analysis tools that help streamline the business and make reporting, analyzing and projection better metrics feasible and well organized .  Work with Finance and IS Analytics team to develop and deliver timely clinical and financial data on Department activity.  Supports laboratory sections with operational expertise in SOFT and EPIC and provide reports from those systems to support operational and strategic decisions.
  5.  Serve as an Administrative rep in the context of Document Control Systems.  Coordinate facilities requests with team and facilities.  Assist in supervising intern and associated work.  Represent Lab Administration by participating in CQI.

Required Education and Experience

Required Education: Bachelor’s degree

Required Experience: At least five (5) years of prior experience in business office or managing projects

Preferred Education, Experience & Cert/Lic

Preferred Education: Master’s degree

Preferred Experience: Clinical background


Additional Technical Requirements

Knowledge of Hospital and Lab Information Systems – SOFT, EPIC, Microsoft products, Budget Platforms, Qlikview platforms, STRATA
